5 Questions to Ask Before You Hire an Exhibition Stand Contractor
Choosing the wrong exhibition stand contractor is expensive twice over: once when the stand underdelivers on the show floor, and again when you have to rebuild your plans for the next event. Before you sign anything, run every shortlisted contractor through these five questions.
1. Who actually builds the stand — you, or a subcontractor?
Many agencies sell the project and then hand production to a local subcontractor you’ll never speak to. Ask directly: is design, carpentry, and installation done in-house, or outsourced? In-house production means one team is accountable for the whole result, and any last-minute change goes through a single point of contact instead of a chain of emails between agency and workshop.
2. Can I see a portfolio from the exact venue I’m exhibiting at?
A contractor’s general portfolio tells you they can build. A portfolio from your specific venue — or at least a comparable hall size and country — tells you they know the loading dock rules, the ceiling height, the local electrical code, and the on-site deadlines that vary from one exhibition center to the next. If they can’t show you relevant venue experience, ask how they plan to handle the logistics they haven’t dealt with before.
3. What happens if my stand is damaged or delayed in transit?
This is the question that separates contractors who’ve actually run dozens of builds from those who haven’t. A serious contractor has a documented contingency plan: spare materials on standby, a local partner network for emergency repairs, and installation crews who arrive with enough buffer time to fix problems before doors open. If the answer is vague, that’s your answer.
4. Is the quote a fixed price, or an estimate with room to grow?
Get the full cost breakdown in writing — design, materials, build, transport, on-site installation, dismantling, and storage between shows if you plan to reuse the stand. Contractors who quote low on the headline number often make it up on “unforeseen” on-site charges. Ask what’s explicitly excluded from the quote, not just what’s included.
5. What do I own after the show — and can I reuse it?
If you’re building a custom stand, clarify upfront whether the structure, graphics, and any modular components belong to you afterward, and whether the contractor stores or ships it for your next event. This single question can be the difference between a stand that pays for itself over three shows and a one-time expense.
