How Far in Advance Should You Book a Stand Builder

The single question that determines how much choice, budget, and quality you’ll get from a stand builder is timing. Book too late and you’re picking from whoever still has capacity — not who you actually want. Here’s how far in advance to move, by stand type.

Custom-built stands: 4–6 months

A fully custom stand goes through concept design, revisions, structural engineering, material sourcing, and production before it ever reaches the show floor. Contractors with strong portfolios book their production slots early, especially around major trade fair seasons — waiting until 8–10 weeks out usually means choosing from whoever has a free build slot, not the contractor best suited to your brief.

Modular stands: 6–10 weeks

Modular systems are faster because the structural components already exist — what takes time is graphics production, layout planning, and fitting the system to your specific footprint. Six to ten weeks gives enough room for a proper design pass and one or two rounds of revisions without rushing the print production at the end.

Space-only stands with a stock system: 3–4 weeks

If you’re renting a stand from a builder’s existing inventory rather than commissioning anything new, three to four weeks is workable — but only if your graphics files are ready to go. The bottleneck at this speed is almost never the stand itself; it’s waiting on final approved artwork.

What happens if you book late anyway

A contractor squeezed for time will default to their fastest, most standard layout rather than the one that fits your actual goals for the show — less design input, fewer material options, and a tighter installation schedule that leaves no buffer if something goes wrong on site. None of that shows up in the quote; it shows up on the show floor.

The one exception

If you’re reusing a modular stand you already own with only graphics updates needed, two to three weeks is realistic. The practical rule

Contact a shortlist of contractors as soon as you’ve confirmed your exhibition date and stand size — even before the design brief is finished. Booking a production slot and refining the design in parallel is normal; starting the design after you’ve already run out of lead time is not.
